Create a Volunteer Role for a Community Resource Table
Define practical tasks for a hypothetical information table, including setup, welcoming, materials, and referral boundaries.
Set the role’s purpose
A community resource table can help visitors find and take away approved information, but the volunteer role should be specific. State the event, shift, audience, and purpose of the table. For example, the role might be to set out current flyers, welcome visitors, and direct questions to the staff contact. Do not imply that a volunteer can determine eligibility, provide legal or medical advice, or guarantee that a service is available. Confirm the organization’s expectations before recruiting someone for the role.
Plan setup and materials
List the physical tasks: arrive at a stated time, locate the assigned table, arrange approved materials, and check that signs are readable and accessible. Identify who provides supplies such as clips, a table covering, or language-specific flyers. The volunteer should not invent new handouts or make unapproved edits. A simple setup checklist might include confirming the event name and date on materials, placing frequently requested information within easy reach, and keeping walkways clear. Include a staff contact for missing or outdated materials.
Define welcoming and referrals
Describe how the volunteer should greet visitors and handle questions. A neutral welcome such as “Would you like information about any of the services listed here?” gives a visitor room to choose. If someone asks a question beyond the approved material, the volunteer can explain that a staff member handles it and make the referral. Do not collect sensitive details at the table unless the organization has an approved process and the volunteer is trained to use it. Provide directions to a staff lead or another designated contact.
Cover the full shift
Include break and closing responsibilities: who covers the table, how remaining materials are stored, and where to report questions or supply shortages. A sample role description can name a two-hour shift, an arrival time, the staff lead, and a rule to refer questions about individual cases. After the event, ask whether the materials and instructions worked. A well-defined table role helps visitors find information while keeping decisions and private conversations with the people authorized to handle them.
